How to sell to Product leads at Real estate companies

Product leads in real estate companies are primarily measured on user adoption rates of their product offerings. They respond to outreach that demonstrates a clear understanding of the complexities involved in property management software, particularly how it can streamline operations and improve tenant satisfaction. Highlighting specific pain points in their current process will capture their attention.

Written and maintained by the SoloRiff team, who build outbound software and run outbound with it. The figures below are our own: we measured 562 real estate company domains over public DNS on 2026-09-03. Last updated 2026-09-03.

What actually hurts

  • low user engagement
  • inefficient onboarding
  • feature underutilization
  • integration hurdles

The playbook

  1. 01

Identify recent property management software launches

Use LinkedIn or industry news sites to find companies that have recently launched or updated property management software. Focus on companies that have announced new features or integrations, as they may be looking for solutions to enhance user adoption.

  2. 02

Craft messaging around user adoption challenges

Develop your outreach message to address common user adoption challenges, such as training inefficiencies or feature underutilization. Tailor your message to show how your insights can help them improve these specific areas, making it relevant to their recent software updates.

  3. 03

Reach out after a major industry event

Plan your outreach for shortly after a significant real estate conference or expo. These events often lead to shifts in strategy or priorities, and product leads may be more open to discussing new ideas or solutions that can support their goals post-event.

  4. 04

    Address concerns about integration complexity

In your follow-up, anticipate objections related to the complexity of integrating new solutions into existing systems. Provide concise examples of how similar companies successfully navigated integration challenges, reinforcing your understanding of their potential hesitations.

  5. 05

Suggest a meeting during product planning cycles

Timing is crucial; aim to suggest a meeting during their product planning cycles, typically at the end of Q3 or beginning of Q4. This aligns with their strategic roadmap discussions, making them more receptive to exploring new solutions that could enhance their product offerings.

Can real estate companies even receive your mail?

We measured the DNS of 562 real estate companies, sampled evenly across company sizes, to see how many authenticate their own email. It matters in both directions: a domain that does not authenticate is a domain whose team is used to mail going missing — and if your own domain is in the gap, yours is the mail going missing.

Publishes a DMARC policy of quarantine or reject — the domain actually asks receivers to act on failures.

The gap is the finding: 25.2% of 1–10-person companies against 83.6% of the largest — 58 points apart. Small companies are where the unauthenticated domains are, and small companies are who most cold outreach is aimed at.

Where does your domain sit?

How this was measured

Company domains were sampled within employee-count bands, then queried over public DNS for SPF (TXT at the apex), DMARC (TXT at _dmarc.) and MX. One domain per company, deduplicated. Anyone can reproduce any single row of this with dig.

DKIM is deliberately absent. A DKIM key lives under a selector that cannot be enumerated from outside the domain, so a company with flawless DKIM under a name we did not guess would be counted as having none. That would measure our guess list, not the industry.

Domains with no MX record are excluded rather than counted as failures — parked and redirect-only domains would otherwise drag every figure down and make the result an artefact of the sample.

Sampled within bands, so this describes the population of companies, not of employees: a 10-person company counts once, as does a 10,000-person one. Each band is at least 60 domains; bands below that are not published. Figures are percentages of the sample, not of the whole industry, and we publish no company names — only counts.

Questions

Why do product leads in real estate prioritize user adoption?

What common objections do product leads have about new solutions?
Product leads often express concerns about the complexity of integrating new solutions into existing systems. They may also worry about the potential disruption to their current operations and the time required for training staff on new tools.
How can I demonstrate value to a product lead in real estate?
To demonstrate value, focus on showcasing how your insights or solutions can directly address their specific pain points, such as improving user engagement or streamlining onboarding processes. Use case studies or examples from similar companies to illustrate your points.
What role does market timing play in outreach to product leads?
Market timing is essential when reaching out to product leads, especially after significant industry events or during their product planning cycles. Aligning your outreach with these periods increases the likelihood of engagement, as they are actively considering new strategies and solutions.
