Cold outreach to Proptech companies
The buyer is a Proptech product manager, measured primarily on user engagement metrics. They respond to outreach that offers insights into improving platform usability or increasing tenant satisfaction, as these directly impact their performance metrics and customer retention strategies.
Written and maintained by the SoloRiff team, who build outbound software and run outbound with it. The figures below are our own: we measured 518 proptech company domains over public DNS on 2026-09-03. Last updated 2026-09-03.
What actually hurts
- high tenant turnover
- poor user interface design
- low user engagement metrics
- inefficient onboarding processes
The playbook
- 01
Identify recent user feedback trends
Use platforms like G2 or Trustpilot to find recent reviews about Proptech solutions. Look for common complaints or suggestions regarding user experience. This insight will help tailor your outreach to address specific pain points these product managers face.
- 02
Analyze competitor feature releases
Research Proptech competitors that have recently launched new features or updates. Highlight how your outreach can help them stay competitive in user engagement or retention. This approach shows you understand the fast-paced nature of the Proptech industry.
- 03
Connect with industry-specific pain points
Craft your messaging around common issues like high tenant turnover or poor user interface design. Reference specific statistics or case studies about how addressing these issues can lead to improved engagement. This will resonate with their daily challenges.
- 04
Leverage industry events for timing
Identify upcoming Proptech conferences or webinars where product managers will be present. Schedule your outreach to coincide with these events, as they are likely to be more receptive to new ideas and solutions during this time.
- 05
Prepare for objections regarding budget
Anticipate budget constraints as a common objection. Prepare a value-driven narrative that emphasizes cost savings or revenue generation through improved user engagement. This will help you address concerns before they arise.
Can proptech companies even receive your mail?
We measured the DNS of 518 proptech companies, sampled evenly across company sizes, to see how many authenticate their own email. It matters in both directions: a domain that does not authenticate is a domain whose team is used to mail going missing — and if your own domain is in the gap, yours is the mail going missing.
Publishes a DMARC policy of quarantine or reject — the domain actually asks receivers to act on failures.
The gap is the finding: 27% of 1–10-person companies against 55.6% of the largest — 29 points apart. Small companies are where the unauthenticated domains are, and small companies are who most cold outreach is aimed at.
Where does your domain sit?
Same three lookups, run live against your domain. Nothing is stored and nothing is emailed to you.
How this was measured
Company domains were sampled within employee-count bands, then queried over public DNS for SPF (TXT at the apex), DMARC (TXT at _dmarc.) and MX. One domain per company, deduplicated. Anyone can reproduce any single row of this with dig.
DKIM is deliberately absent. A DKIM key lives under a selector that cannot be enumerated from outside the domain, so a company with flawless DKIM under a name we did not guess would be counted as having none. That would measure our guess list, not the industry.
Domains with no MX record are excluded rather than counted as failures — parked and redirect-only domains would otherwise drag every figure down and make the result an artefact of the sample.
Sampled within bands, so this describes the population of companies, not of employees: a 10-person company counts once, as does a 10,000-person one. Each band is at least 60 domains; bands below that are not published. Figures are percentages of the sample, not of the whole industry, and we publish no company names — only counts.

Questions
- Why do Proptech product managers ignore outreach about analytics tools?
- Proptech product managers often prioritize immediate user experience improvements over analytics tools, viewing them as secondary. They may feel overwhelmed by the number of analytics solutions available, leading to outreach being overlooked unless it clearly ties to user engagement.
- What messaging resonates with Proptech product managers?
- Messaging that focuses on enhancing user experience and tenant retention resonates well. Product managers are keen to hear about solutions that can directly impact their performance metrics, especially if they address specific pain points like onboarding efficiency or feature gaps.
- How can outreach be tailored for Proptech companies?
- Outreach can be tailored by referencing recent trends in user feedback and competitor releases. Highlighting specific challenges faced by Proptech companies, such as high turnover rates or poor user reviews, will make your message more relevant and engaging.
- What are common objections from Proptech product managers?
- Common objections include budget constraints, skepticism about ROI, and a preference for existing solutions. Understanding these objections allows you to preemptively address them in your outreach, increasing the likelihood of a positive response.
